Know who's inside.
A guard app that replaces the paper visitor book. Fifteen seconds per visitor, works without network, and gives the office a live list of everyone on the premises.

Office dashboard. Live roster, visit history, visitors and blacklist, hosts, sites, gates and guards. Runs in any browser.
Gate app. Installs from the browser on any Android phone or tablet. Big fields, one hand, no signal required.
It exists so that, if something happens, there is a record. It rarely delivers one.
Every estate has the book. Every guard fills it in. And the one time someone needs an answer from it, the answer isn't there.
| Paper book | ScannedGate | |
|---|---|---|
| Legibility | Depends on the handwriting | Typed once, stored as data |
| Verification | Anyone can write any name | ID number matched to previous visits |
| Finding a past visit | Flip through months of pages | Search by name, ID, plate or host |
| Who is inside now | Cannot be answered | One live list per site |
| Several gates | Each book is an island | One account, every gate |
| Flagging a person | Word of mouth between shifts | Blacklist warns every guard instantly |
Three steps at the gate. One screen at the office.
- 01
Enter the ID number
The guard types or scans the visitor's ID on a phone or tablet. If they have visited before, their details fill in and any blacklist flag shows in red.
- 02
Confirm and check in
Host, purpose and vehicle plate take a few taps. The visit is saved on the device immediately, so a weak signal never holds up the queue.
- 03
Watch the live roster
The office dashboard shows everyone inside, per site and per gate, plus a searchable history. Check-outs at the exit close the visit.
Everything the book was supposed to do, and the things it never could.
Works with no signal
Check-ins are saved on the phone first and sync when the network returns. The guard is never blocked with a car at the barrier.
Who is inside, right now
One live list per site: every visitor still on the premises, how long they have been in, and which gate they used.
Repeat visitors in seconds
Type the ID number once. Next time, the name, phone and usual host fill in automatically.
Blacklist warnings
Flag a visitor and every guard at every gate is warned the moment that ID is entered.
Searchable history
“Has this person been here before?” or “who visited B7 last Tuesday?” in a few keystrokes.
Handles the ones who slip out
Visits nobody checked out are closed automatically after a window you set, and flagged so the roster stays honest.
Many sites, one account
Phases, annexes or entirely separate estates under one login, each with its own gates, guards and settings.
Built for the Data Protection Act
Records expire on schedule, ID numbers are protected at rest, and access is logged and role-limited.
Designed for the gate as it actually is.
Patchy signal at the barrier, guards on shared Android phones, a Maisha Namba card on the dashboard, and a committee that has to answer for what it collects.
- Offline firstThe app never stalls waiting for network.
- National ID and Maisha NambaTyped today; photo capture and NFC reading on the roadmap.
- Data Protection Act, 2019Retention windows, access controls and audit trail built in.
- Consent signageA gate notice template ships with every plan.
- M-Pesa or cardMonthly, per site. Cancel any time.
Monthly, priced by branch. Less than a week of one guard's salary.

What estate managers ask us
- Any Android phone or tablet from the last few years with Chrome. ScannedGate installs from the browser like an app: no app store, no updates to chase.
- Nothing changes for the guard. Check-ins are stored on the device and sent to the server the moment the network is back, in the right order, without duplicates.
- Yes, with the right notice and safeguards. Storing visitor ID numbers falls under Kenya's Data Protection Act, 2019. ScannedGate limits what is collected, purges records on a schedule you choose, restricts who can view them, and includes gate signage that tells visitors what is collected and why. You remain the data controller for your estate; we act as processor.
- Host pre-authorisation and arrival notifications are on the roadmap after launch. Today, hosts are chosen by the guard at the gate.
- Under a day for a typical estate: create the site and gates, add guards and hosts (we can import from a spreadsheet), and install the app on the gate phones.
- A branch is the thing you are securing, so that is what you pay for — and each extra branch costs much less than the first. Guards rotate and share phones, and charging per visitor would punish you for using the app. The price never depends on how busy the gate is.
- Many estates run both for the first month. After that, the book usually stops being filled in because nobody needs it.
